Information we use
Account applications include your name, email, phone number, profession, practice and address, licensing authority, license number and either a license copy or an official public register link. You may also provide business or tax details and a referral code. We retain the review outcome, relevant verification details and account communications. We may obtain professional registration information from the government register or licensing authority identified in your application.
For an active customer relationship, we use order, billing, delivery, payment-status, rewards and support records. Technical records may include IP addresses, login or request events and browser information needed to operate and protect the service. Passwords are stored using WordPress password hashing. Do not send patient data through our registration form or ordinary support email.
Why we use it and our legal basis
- Applications and service enquiries: to respond and take requested steps toward a professional account or contract. Where the applicant acts for a company, we also rely on our legitimate interest in managing that business relationship.
- Professional verification and account security: our legitimate interests in restricting supply to eligible professionals, preventing misuse and protecting accounts, with any specific legal obligations applying to the transaction.
- Orders and customer service: to perform the contract, communicate about it and maintain the customer relationship.
- Accounting and required records: to meet applicable legal obligations and establish or defend legal claims.
- Rewards and referrals: to administer the benefits requested through your professional account and prevent duplicate or abusive claims.
Required application fields are necessary for professional review. If you do not provide sufficient evidence, we cannot approve access. Account decisions receive human review. Automated access controls enforce the recorded decision and its validity; we do not use this process to make a solely automated eligibility decision.
License documents and retention
Uploaded license copies are encrypted in the application database and made available only to authorized reviewers. They are not placed in the public media library. A daily deletion process removes uploaded copies after 90 days from upload. We retain the minimum professional details and review outcome needed to manage account eligibility and reverification.
Other account and order records are retained while needed for the relationship and for applicable accounting or other legal obligations. Unsuccessful applications and support records are reviewed for deletion when no longer necessary. The applicable period depends on the record and any legal requirement; you may ask us for the retention criteria relevant to your information. Restricted backup copies may persist until the backup’s normal replacement cycle and are not used for routine customer operations.
Who receives information
Access is limited to personnel and service providers who need it for the stated purpose. Relevant recipients may include website hosting and technical support providers, business email services, commerce and payment services, delivery providers, accountants, professional advisers and competent authorities where required. We share only information needed for the service or obligation, under the applicable contractual and data protection arrangements. A referring member does not receive your license evidence or the details of our assessment.
Where a service requires processing outside the European Economic Area, we must use an applicable lawful transfer mechanism, such as an adequacy decision or appropriate contractual safeguards. Contact us for the service providers, transfer details and safeguards relevant to your data.
Service messages and marketing
We send messages necessary to review your application, communicate approval or refusal, protect your account and manage orders. These are service communications. Registration does not sign you up to a marketing mailing list. Any optional marketing subscription must be presented separately with its own choice and withdrawal route.
Your rights
Subject to applicable conditions, you can request access, correction, deletion, restriction or portability of your personal data, and object to processing based on legitimate interests. Where we rely on consent, you can withdraw it without affecting earlier lawful processing. We may need proportionate identity verification before handling a request. We normally respond within one month; if a lawful extension is needed, we will explain it.
You may complain to your competent supervisory authority, including Hungary’s National Authority for Data Protection and Freedom of Information (NAIH). You can read more about individual rights in the European Commission’s data protection guidance.
